The short version

- For a small support team the AI line now outweighs the seats. Three Freshdesk agents cost US$57 a month; 1,000 Freddy AI sessions cost US$490. On Intercom it is US$87 against US$990.[2][4]
- Seat prices still vary sixfold: Zoho Desk starts at ₹420 an agent a month in INR, while Freshdesk, Hiver and Intercom start between about ₹1,600 and ₹2,500 at list.[1][3]
- Our view: price the AI on your own monthly volume before you choose the helpdesk, and start with a shared inbox if most of your support still arrives by email.

The 2023 version of this post listed five trends in support tools for small and mid-sized businesses: chatbots, social-media tools, self-service, video and omnichannel. Three years on, the trend that matters to a buyer is not on that list. It is how the software is priced. Helpdesks still charge per agent, but their AI agents now charge per conversation, per session or per resolved outcome, and for a small team that second line can be the larger one. The question an Indian SMB is really asking is which tool to adopt and what it will cost at its own volume.

## Seats are cheap, and Zoho Desk is cheapest

The entry paid plans sit in a narrow band once converted. Zoho Desk’s Express plan is ₹420 an agent a month, billed annually in INR.[1] Freshdesk Growth lists at US$19, Hiver Growth at US$25 and Intercom Essential at US$29 per seat a month on annual billing, with Intercom offering US$19 to new customers.[2][3][4]

The entry plans are not equivalent. Zoho Desk Express is a light helpdesk and Standard, at ₹800, is where omnichannel and automation begin.[1] Hiver’s Growth plan already includes its AI agents and copilot, while SLAs, CSAT and the customer portal wait for Pro at US$55.[3] Compare the plan that has the features you need, not the cheapest line on the page.

Two smaller details move the total for a small team. Zoho Desk sells light agents, people who view and comment on tickets without answering customers, at ₹345 a month, which suits a finance or warehouse colleague pulled into a refund.[1] Hiver has a two-seat minimum, so a one-person support desk pays for two.[3] Neither shows up in a per-agent headline, and both show up on the invoice.

## AI is priced per event, so test it before you price it

The chatbots of the 2023 post have become AI agents that answer from your help centre and past tickets, and each vendor bills them by a different unit. Freshdesk includes 500 Freddy AI Agent sessions once per account, then charges US$49 per 100 sessions; a session is a 72-hour window from the customer’s first message.[2] Intercom charges US$0.99 per Fin outcome, so an unresolved conversation costs nothing.[4] Salesforce’s Agentforce launched at about US$2 per conversation and now also sells Flex Credits at US$500 per 100,000, about US$0.10 an action.[5] We set five of these price lists side by side, with what each meter counts, in [our post on what one AI-handled conversation costs](https://www.thetechbag.com/blog/ai-driven-b2c-conversation); this piece uses two of them to build a small team’s whole bill.

Our view

Our view: the per-outcome model is the fairest to the buyer, because you pay only when the customer leaves without a human. It is also the hardest to forecast, since the vendor’s software decides what counts as an outcome. Ask for that definition in writing before you sign.

Price is the second test. The first is whether the agent answers only from your own material and hands the customer to a person cleanly, and a small team can check that in a fortnight without a live customer seeing a single answer.

## For a small team, the AI line is the bill

Put the two together for a three-agent team whose AI agent handles 1,000 conversations a month. On Freshdesk Growth the seats cost US$57 and, once the one-time 500 sessions are used, the AI costs US$490.[2] On Intercom Essential at the regular price the seats cost US$87 and 1,000 Fin outcomes cost US$990.[4]

The arithmetic changes the buying order. If the AI resolves enough tickets to delay one hire, US$490 a month is cheap against an agent’s salary. If it mostly hands conversations back to your agents, you have paid twice for the same ticket.

The gap narrows at lower volume without closing. At 300 conversations a month Freshdesk’s AI costs US$147 once the included sessions are spent and Intercom’s US$297, still more than the seats, while three Zoho Desk Standard agents cost ₹2,400 a month in all.[1][2][4] A business answering a few hundred questions a month may not need an AI agent yet, and should count its monthly conversations, and the share it expects an AI to finish, before it reads a single feature list.

The 2023 version of this post quoted nine statistics, from “80% of companies plan to use chatbots” to “seven times more likely”. None carried a date or a link, and we have dropped all nine rather than repeat figures we cannot trace.

## Email first: when a shared inbox beats a helpdesk

The one tool the 2023 post named was Hiver, and its case has held up. Hiver works inside Gmail and Outlook, so a team that answers support@ today keeps its client and adds assignment, SLAs and reporting on top.[3] A full helpdesk such as Freshdesk or Zoho Desk asks agents to work in a new console, and pays that back when chat, phone and a help centre arrive.[1][2]

The other 2023 trends sort themselves into the same two boxes. Social-media replies and video calls are channels a helpdesk adds; in India the channel that matters most is WhatsApp, which the larger platforms now list beside email and chat, as Zoom Contact Center does.[9] Self-service is the help centre an AI agent reads from, so the work of writing good articles pays twice.

The inbox route also keeps the exit cheap. Conversations stay in the mailbox your business already owns, so moving to a helpdesk later means forwarding an address rather than migrating a ticket database. The helpdesk route earns its extra console when the customer portal, the help centre and the AI agent all read from one record of each customer, which is the point at which Freshdesk’s or Zoho Desk’s mid-tier plans start to pay for themselves.[1][2]

*Where each model fits, TechBag assessment, September 2026*

A shared inbox (Hiver)

- Most requests arrive by email
- Finance, HR or operations share the same mailbox
- No appetite for a new tool or a new login
- Two or more seats on a Gmail or Outlook estate

A full helpdesk (Freshdesk, Zoho Desk)

- Chat, phone or WhatsApp carry real volume
- Customers need a portal and a searchable help centre
- An AI agent will answer before a person does
- Several teams or brands share one queue

If you are buying this in India

Zoho Desk prints INR prices: three agents on Standard at ₹800 cost ₹28,800 a year, or ₹33,984 with 18% GST.[1] Freshdesk, Hiver and Intercom list in US dollars; an Indian buyer pays the INR equivalent through a reseller, plus 18% GST, and the AI usage is billed the same way. TechBag quotes all three in INR.

Bought directly from a vendor abroad, a GST-registered business pays that 18% itself under reverse charge and must remember to; bought through an Indian reseller, the tax arrives on an Indian invoice with input credit attached. For AI usage that varies month to month, ask for a prepaid block in INR so the rupee cost does not move with both your volume and the exchange rate.

Two rules bite. The **Consumer Protection (E-Commerce) Rules, 2020**, in force since 23 July 2020, require an e-commerce entity’s grievance officer to acknowledge a consumer complaint within 48 hours and resolve it within one month.[6][7] A helpdesk SLA is how you prove you met that clock. The **DPDP Rules**, notified on 13 November 2025, bring the security-safeguard, breach-notice and retention duties into force on 13 May 2027.[8] Every ticket and chat transcript is personal data, and an AI agent that reads them makes its vendor your data processor; set a retention period for transcripts before the AI is switched on.

How we did this

Figures as of 30 September 2026

Zoho Desk and Hiver prices are TechBag’s records as committed on 30 September 2026; the Zoho Desk India pricing page could not be re-fetched. Freshdesk seat prices were checked on its pricing page and match TechBag’s record; the Freddy session price and the Intercom prices are from the vendors’ undated pricing pages. Salesforce figures are from TechBag’s Service Cloud page and describe a pricing model Salesforce has changed more than once. US$ list prices are converted at ₹85 to the dollar, the indicative rate on TechBag’s pages. The bill in section 3 assumes 1,000 billable events and the included Freddy sessions already used. HubSpot Service Hub and Zendesk were left out for want of a comparable published entry price in our records.
