# Calendly charges US$16 a seat for round robin; Microsoft 365 includes Bookings

*What the ten scheduling tools we named in 2023 charge a five-person team, which kind of group scheduling each price buys, and what Microsoft 365 includes, as of September 2026.*

The short version

- Round robin, the feature that shares incoming meetings across a team, is where the price jumps: US$16 a seat a month on Calendly Teams and US$19 on OnceHub Route, against US$10 for each vendor’s plan without it.[1][2]
- “Group scheduling” is four different jobs. A poll and a class booking are free or cheap almost everywhere; only routing meetings across hosts costs real money.
- Microsoft Bookings, a shared team booking page, ships inside Microsoft 365 from Business Basic at US$7 a user. Check it before you buy a standalone tool for a customer-facing calendar.[6][7]

In 2023 this blog listed ten group scheduling tools with a paragraph each and no prices. The question behind that list is a buying one: a sales team, a clinic or a support desk wants customers to book time without email ping-pong, and someone has to decide whether that needs a new subscription, which tier, and for how many people. Three years on, the answer depends less on the brand than on which kind of group scheduling you mean.

## What five people pay, and where the price jumps

We priced a five-person team on the cheapest published plan of each tool that lets all five take bookings, on annual billing. Calendly Standard is US$10 a seat and covers collective and group meetings; Teams, at US$16, adds round robin, routing forms and the Salesforce connection.[1] OnceHub’s Schedule plan is US$10 a seat and its Route plan, the first with round-robin distribution, is US$19.[2] Acuity Scheduling prices by account rather than seat: US$27 a month for up to six staff calendars on Standard.[3] Setmore Pro is US$5 a user on annual pricing.[4]

Two of these change the answer for a small team. Setmore’s free plan covers up to four users, so a four-person front desk pays nothing at all.[4] Acuity’s account pricing gets cheaper per head as the team grows: Starter is US$16 a month for one calendar, and Premium is US$55 for up to 36, which is about US$1.53 a calendar when every slot is used.[3] Per-seat list prices stay flat per head as a team grows; account-priced ones fall.

On both vendors that price round robin per seat, it costs 60% to 90% more than the same vendor’s plan without it: Calendly US$10 to US$16, OnceHub US$10 to US$19.[1][2] SimplyBook.me, priced in euros, charges €11.90 a month for up to five providers on Basic, per its pricing page dated May 2026.[5]

## Group scheduling is four jobs, and only one is expensive

The 2023 list mixed tools that do different things. Doodle and When2meet find a time a fixed group can all make. Calendly and OnceHub route an outside caller to the right person. Acuity, SimplyBook.me and Setmore run a service business’s diary. Read the pricing pages side by side and four distinct jobs emerge, and the price climbs only at the last.

2. 02Group eventOne host, many attendees: a webinar or a class. In Calendly Standard, YouCanBook.me Individual and Setmore Free.
3. 03CollectiveEvery named host must be free, as in a panel interview. Already in Calendly Standard at US$10 a seat.
4. 04Round robinAny one of several hosts takes the call. Calendly Teams, OnceHub Route and YouCanBook.me Team; this is the price step.

Round robin costs more because it is the feature a revenue team buys. Calendly bundles it with routing forms that qualify a lead before the meeting and with the Salesforce connection that records it.[1] OnceHub names its tier after the job: Route.[2] A clinic or a training firm rarely needs any of that; a sales team with inbound leads usually does.

Our view

Our view: decide which of the four jobs you have before you compare brands. If it is a poll or a class, pay nothing. If it is collective scheduling for interviews, the US$10 tier is enough. Pay the round-robin premium only for the people who actually receive routed leads, not for the whole team.

## What happened to the ten tools we named in 2023

Several of the 2023 names were already out of date when we wrote them. ScheduleOnce, fourth on that list, had been renamed four years earlier: the company’s own timeline records that in 2019 “ScheduleOnce officially became OnceHub”.[8] Acuity Scheduling now describes itself as “a Squarespace Company”.[3] YouCanBook.me shows a Free, Individual, Professional and Team plan, with round robin only on Team, but every price on the page reads “$0 / month” beside a contact-sales button.[9]

TechBag countHow we counted

A price counts when the vendor’s own pricing page shows a number per seat, user or account per month. When2meet shows a scheduling grid and no plans or prices at all, so it is in neither the price nor the free-plan count. A blocked or missing page is not evidence that a vendor hides its price, and we do not treat it as one.

## Check the suite you already own first

Microsoft Bookings is included in Microsoft 365 Business Basic, Business Standard, Business Premium, E3, E5, the F plans and Teams Essentials. Its Shared Bookings mode lets a team publish booking pages, add staff members and set services, hours and availability; its Personal Bookings mode is a one-person booking link.[6] Business Basic moved from US$6 to US$7 a user a month on 1 July 2026.[7] For a support desk or a branch that wants customers to book a slot with whoever is free, that is often enough, and it is already paid for.

Before comparing brands, four questions settle most decisions:

1. **Who books?** Colleagues booking each other need nothing beyond the calendar you have. Customers booking you need a public page, reminders and a record of who booked.
2. **How many hosts per meeting?** One host is the free or entry tier almost everywhere. Several hosts who must all attend is collective scheduling, US$10 a seat on Calendly. One host chosen from several is round robin, the expensive step.[1]
3. **Does the booking feed a CRM?** If the meeting must land in Salesforce with the lead’s answers attached, budget for the routing tier for the people who take those calls.
4. **How big will it get?** Calendly’s Enterprise plan starts at US$15,000 a year and 50 seats; SimplyBook.me’s free plan stops at one provider and 50 bookings a month. Price the plan you will be on in a year, not the one you start on.[1][5]

Where it falls short is the revenue-team work in section 2: qualifying a lead with a routing form and writing the meeting to Salesforce. That is the case for a Calendly Teams or OnceHub Route seat, and it applies to the handful of people who take inbound sales calls. Google Workspace has appointment schedules too; Google says some features require an eligible paid subscription, but its help page does not list which.[10]

If you are buying this in India

Every standalone tool here lists in US dollars or euros. At ₹83 to the US dollar, five Calendly Teams seats at US$80 a month come to about ₹6,640 a month, or ₹7,835 with 18% GST; bought through an Indian reseller the invoice is in rupees and the GST is creditable. Bookings adds nothing to a Microsoft 365 bill you already pay.[1][6]

A booking page collects names, phone numbers and email addresses, which makes it a personal-data system under the Digital Personal Data Protection Act, 2023. The DPDP Rules were notified on 13 November 2025, and the notice, security-safeguard and breach-intimation duties take effect on 13 May 2027.[11] Microsoft states that Bookings data is stored in Exchange Online under the same policies as the rest of Microsoft 365.[6] For a standalone tool, ask where bookings are stored and who the processor is before the form goes live.

How we did this

Figures as of 30 September 2026

We read the pricing page of each of the ten tools named in the May 2023 original, plus Microsoft’s Bookings documentation and its 2026 licensing notice. Prices are list, per month, on annual billing where the page offers it; where a page did not label which of two prices was annual, we took the one its footnote marked as annual. The five-person cost multiplies the per-seat price by five; account plans are shown at their single price. Dates in the sources are each page’s own; pages that show no date are marked undated. The Doodle, Appointy and Bookafy pricing pages returned errors and are excluded from every price. The INR conversion at ₹83 to the US dollar is our arithmetic, not a quote.
