Understand SaaS backup before you buy one

Most product pages skip this. We start here — so you buy a capability, not a buzzword.

What is SaaS backup?

SaaS backup keeps an independent copy of the data you hold in cloud apps, because Microsoft, Google and Salesforce keep their services running — protecting your data is your job.

Recycle bins and version history vs a real SaaS backup — the honest table

What consolidation actually replaces, dimension by dimension.

DimensionRecycle bins and version historyIDrive Cloud-to-Cloud Backup

An Entra ID policy deletedRebuilt by hand, if anyone remembers itRestored from an Entra ID snapshot

Several SaaS appsOne backup tool per app, or noneSix connectors on one IDrive account
What it is NOT—SaaS backup only; no archiving, eDiscovery suite or Dynamics 365

The cheapest test is the 7-day free trial: connect your tenant, let a day of backups run, and restore something a user deleted last week.

Under the hood

The five pieces of the platform

Vendors love diagrams; buyers need to know what they’re actually operating. Here’s the whole platform, demystified.

01
What gets protected

Connectors

Six SaaS connectors

An admin authorises Microsoft 365, Entra ID, Google Workspace, Salesforce, Dropbox or Box through each service’s own API; nothing is installed on staff laptops.

02
How often copies are taken

Scheduler

Automatic backup runs

Microsoft 365, Google, Dropbox and Box back up automatically up to three times a day; Salesforce runs daily, and a manual backup can be started at any time.

03
Where the copies sit

Storage

IDrive cloud storage

Snapshots land in an IDrive region you pick per connector — twelve for Microsoft 365, India among them, and seven for Google, Dropbox and Box — under AES-256.

Part 03 · Evaluate

Nine capabilities. Protect, recover, govern.

IDrive Cloud-to-Cloud Backup keeps an independent, restorable copy of six SaaS apps in IDrive’s cloud.

Protect
Microsoft 365

Mail, files, sites and Teams

OneDrive, Outlook and Exchange, SharePoint sites and Teams and Groups are backed up per seat, with unlimited storage and no per-GB overage.

Protect
Google

Workspace and Classroom

Gmail, Drive, Shared Drives, Calendar, Contacts and Google Classroom are covered, with 10 TB a seat before $5 per TB a month applies.

Protect
Salesforce

Records and metadata

Standard and custom objects, files, Chatter feeds and metadata such as fields, Apex classes, workflows and dashboards, in production and sandbox orgs.

Recover
Snapshots

Point-in-time versions

Each backup run keeps a snapshot of the user’s data, so a file, folder or mailbox can be rolled back to a version taken before ransomware struck.

Recover
Restore

Granular and cross-user

Search by user and restore one email, contact, calendar entry or folder to the same account or a colleague’s — or restore a Salesforce field.

Recover
Independent

Recover without Microsoft

Backed-up data can be downloaded straight from IDrive with no dependency on the Microsoft 365 account — useful in an outage or a lost tenant.

Govern
Entra ID

Directory objects for $10

Users, groups, roles, app registrations, conditional access policies and devices restored singly or together, to a known-good point in time.

Govern
Domains

Delegated domain admins

Several Microsoft 365 domains can sit in one account, and admins can be invited and given only the domains whose backup and restore they run.

Govern
Regions

Storage region per connector

Choose where backups sit: Microsoft 365 offers twelve regions including India; Google Workspace, Dropbox and Box offer seven, none in India.

Why IDrive Cloud-to-Cloud Backup

Deleted is not the same as recoverable. IDrive keeps a restorable copy of every seat, at a price you can read.

Here’s what genuinely sets it apart — and exactly where it stops.

01

A seat price anyone can read

Most SaaS backup is quoted through partners. IDrive prints $20 per seat a year for Microsoft 365, Google Workspace, Salesforce, Dropbox and Box, $10 for Entra ID, and $2 a seat for monthly terms. Unlike IDrive’s other products, there is no first-year discount, so year two costs the same.

02

Unlimited storage for Microsoft 365

A Microsoft 365 seat carries unlimited backup storage, so a mailbox-heavy user or a large SharePoint library does not change the bill. Google Workspace, Salesforce, Dropbox and Box seats get 10 TB each, and only storage beyond that is charged, at $5 per TB a month.

03

Six SaaS sources in one account

Microsoft 365, Entra ID, Google Workspace with Classroom, Salesforce, Dropbox and Box are all connectors on one IDrive account and console. A business on Microsoft for mail and Box or Dropbox for files — or mid-way between Google and Microsoft — needs one contract, not three.

04

Where it stops

Only Microsoft 365 backups can be kept in India; Google Workspace, Dropbox and Box cannot. Encryption is IDrive’s default key — the private-key option is for IDrive’s device backup, not this. No Dynamics 365, no bring-your-own storage, no published retention period, and India pays in USD.

Which approach fits you?

Honest fit signals — because the fastest way to lose your trust is to pretend one product wins every scenario.

Choose IDrive Cloud-to-Cloud Backup if…

  • ✓Microsoft 365 backups must stay in India and storage must be unlimited per seat
  • ✓Your data is spread across Microsoft 365, Google, Salesforce, Dropbox or Box

Compare alternatives if…

  • ✓Google Workspace backups must also stay in India — Druva lists a Mumbai region
  • ✓Dynamics 365 or Power Platform need protecting — AvePoint covers them
  • ✓You need copies on storage you own — AvePoint or Veeam’s self-hosted product

Do not expect…

  • ✓Your own encryption key — cloud-to-cloud backup uses IDrive’s default encryption
  • ✓A rupee invoice from IDrive — prices are in USD only
  • ✓An analyst ranking — IDrive’s badges are editorial reviews

Three ways to consume it

Published, in USD per seat: $20 a year (or $2 a month) for Microsoft 365, Google Workspace, Salesforce, Dropbox or Box, and $10 a year for Entra ID. Unlike IDrive’s other products there is no first-year discount, so renewal costs the same. Microsoft 365 storage is unlimited; other apps include 10 TB a seat, then $5 per TB a month. Education gets 25% off for life. There is no INR price. TechBag counts your seats app by app, then quotes in INR with GST.

Microsoft 365 and Entra ID

Best for Microsoft-first tenants

  • $20 per seat a year; Entra ID $10
  • Unlimited storage; India region available
  • OneDrive, Exchange, SharePoint, Teams

+ Platform add-ons

Best for a broader rollout

  • Scoped to your estate
  • Add-on modules as needed
  • Phased, right-sized deployment

Google, Salesforce, Dropbox, Box

Best for mixed SaaS estates

  • $20 per seat a year, or $2 a month
  • 10 TB a seat, then $5 per TB a month
  • No India storage region for Google, Dropbox or Box

The 8 questions to ask every vendor

Take this into your next vendor call — including ours.

1
Seats

How many users per app need protection? Every connected user is a seat at $20 a year — ask how departed users are counted.

2
Apps

Which apps hold business data — Microsoft 365, Google Workspace, Salesforce, Dropbox, Box? Is Dynamics 365 in scope? IDrive does not cover it.

3
Identity

Must Entra ID objects such as conditional access policies be restorable? That is a separate $10 seat.

4
India storage

Must backups stay in India? Only the Microsoft 365 connector offers an India region today.

5
Encryption

Does policy require a customer-held key? Cloud-to-cloud backup uses IDrive’s default encryption only.

6
Storage

Will any Google, Salesforce, Dropbox or Box user exceed 10 TB? Storage beyond that costs $5 per TB a month.

7
Retention

How long must deleted data be kept? IDrive publishes no retention period — get the terms in writing.

8
Billing

Can finance pay a USD card charge yearly or monthly, or do you need an INR invoice with GST through a partner?
