The peer-reviewed carbon evidence on virtual meetings, what Zoom and Google Workspace charge, and the India rules on recordings, as of September 2026.
Moving a conference fully online cuts its carbon footprint by 94% and its energy use by 90%, according to the most cited peer-reviewed study of the question.1 The licence that makes it possible starts free and, for a small business, rarely costs more than a few hundred rupees a user a month. That is the honest answer to the question this blog asked in 2021, when it listed ten reasons businesses were choosing video over meeting in person. Most of those reasons rested on survey percentages we could not trace to a study, so they are gone. What is left is a cost argument and a carbon argument, and both are now measured.
Zoom’s free Basic plan runs meetings of up to 100 people for 40 minutes; Pro is US$14.16 a user a month and Business US$18.33, both billed annually.2 Google Workspace prints rupee prices in India: Business Starter is ₹270 a user a month and includes Meet for 100 participants and meetings of up to 24 hours; Business Standard lists at ₹1,080.3 Microsoft Teams comes inside the Microsoft 365 business suites most Indian offices already pay for.4

In 2026 almost nobody is choosing between a video platform and none. The decision is whether to pay for a second platform. If the office runs on Workspace or Microsoft 365, Meet or Teams is already on the invoice, and Zoom Pro is an extra US$14.16 a user. That is worth paying where the customers and partners you meet default to Zoom, or where Zoom Phone, live in India with native numbers since 2024, replaces a separate phone system.4
Zoom lists in US dollars, so an Indian invoice comes through a reseller in INR with 18% GST; Google’s rupee price also carries 18% GST. Zoom runs data centres in Mumbai and Hyderabad.4 Two rules apply to what a meeting leaves behind. Recordings and transcripts are personal data under the Digital Personal Data Protection Act, 2023, whose Rules were notified on 13 November 2025 with the security and retention duties in force from 13 May 2027.5 And CERT-In’s Directions of 28 April 2022 require a reportable cyber incident, a compromised meeting account included, to reach CERT-In within six hours.6 Decide who can record, where recordings are stored and when they are deleted before the first all-hands, not after.
